Responsibilities:

Preboarding & Welcome Day Experience

  • Supporting employees from offer acceptance through their first working day, including collecting and coordinating required documents and arranging equipment handover;
  • Organizing and coordinating the first-day experience / Welcome Day;

Team Building & Business Travel

  • Organizing team-building activities and business trips for employees;
  • Coordinating travel logistics, including hotel, transfer, and meeting room bookings;

Corporate Gifts & Merch

  • Managing corporate gifts and company merch platform, including stock tracking and distribution;
  • Coordinating external vendors and suppliers, including inventory tracking, invoices, deliveries;

Employee Support & Internal Communications

  • Supporting employees with HR-related questions, benefits, and administrative processes;
  • Assisting with internal communications and keeping key employee resources up to date.

Requirements:

  • Proven experience (3+ years) in People Operations / HR / Employee Experience or Event Manager / Event Coordinator;
  • Proficiency in English, native Russian speaker; 
  • Location: Warsaw or Poznan, Poland
  • Experience in event organisation: planning, coordinating vendors and logistics, managing timelines, and ensuring smooth event delivery;
  • Experience working with vendors and external partners: communication, invoices, deliveries, and follow-up;
  • High attention to detail and ability to maintain accurate documentation, guidelines and internal knowledge resources;
  • Confident Google Workspace user; experience with HRIS, Confluence, task tracking tools;
  • Strong organizational skills, coupled with an ability to think creatively;
  • Excellent communication and interpersonal skills, fostering collaboration and enthusiasm;
  • Ability to anticipate needs, take initiative, and independently drive tasks and employee requests through to completion.

Nice to have:

  • Experience working in a holding or multi-entity organization;
  • Experience organizing business trips and employee travel;
  • Basic knowledge of employment procedures, HR regulations, and hiring formalities.
