We are looking for a proactive and detail-oriented team member to take charge of the HR department's back-office operations, working closely with People Partners under the direct supervision of the HR Director

Additionally, this role plays a key part in strengthening collaboration with shared service teams across the company group and contributes to building a structured, transparent, and data-driven HR management system that aligns with the company’s current stage of development. You will be the first point of contact in the company for newcomers after the recruiter. The recruiter will entrust you with their precious candidates, and you will take over communication, guiding them all the way up to their first working day.

Responsibilities:
  1. Preboarding and onboarding process administration:

    • Providing guidance on collecting and submitting necessary documents in accordance with the chosen employment format;
    • Reviewing submitted documentation, ensuring compliance;
    • Entering employee personal data into the HR system and creating personal records.
  2. Access rights administration:

    • Coordinating with relevant departments to ensure employees receive appropriate system access based on their roles.
  3. HR record-keeping and analytics management.
Requirements:
Key qualifications:
  • Experience in an HR Operations or Personnel Administration role;
  • Knowledge of various employment formats;
  • Experience working with distributed teams;
  • Knowledge of HR analytics;
  • Advanced Excel skills (database management, pivot tables, data extraction, report generation, etc.).
Preferred qualifications:
  • Basic legal knowledge in labor relations (priority – Poland);
  • Understanding of tax regulations for different employment formats.
